Booking Terms & Conditions

By making a booking with Hello Beyond Travel, you agree to the following terms:

1. Booking Confirmation

All travel packages, accommodation, and curated travel services are subject to availability and are only confirmed once the required payment has been received.

2. Payment Terms

  • A 50% deposit is required to confirm most package and accommodation bookings unless otherwise stated.
  • The remaining balance must be paid by the due date stated on your invoice or booking confirmation.
  • Certain components such as flights, event tickets, special promotional rates, or selected third-party supplier products may require full payment upfront and may be non-refundable.
  • Prices are shown in the stated currency unless otherwise noted.
  • Any bank transfer fees, payment gateway fees, currency conversion fees, intermediary bank charges, or international transfer deductions are the responsibility of the guest. The full invoiced amount must be received in order for a booking to be confirmed.

3. Cancellation & Refund Policy

For standard Hello Beyond Travel package and accommodation bookings:

  • Free cancellation up to 30 days before arrival: Any deposit paid will be refunded minus bank/payment processing or transfer fees (typically 3-5%).
  • Cancellation within 30 days of arrival: 50% of the total booking value will be charged and is non-refundable.

4. Supplier-Specific Terms

Some bookings include third-party suppliers such as villas, hotels, transport providers, guides, activity operators, or airlines. Where a supplier has stricter cancellation terms, the supplier’s policy will apply to that component of the booking. This includes, but is not limited to: non-refundable flights, special promotional rates, event tickets, last-minute bookings, and supplier-specific accommodation terms. Where mixed booking components apply, refunds will be calculated according to the individual supplier terms attached to each component.

5. Amendments & Changes

Requests to amend dates, guest numbers, services, or package inclusions are subject to availability and may result in additional charges or revised rates.

6. Travel Documentation & Guest Responsibility

Guests are responsible for ensuring they hold valid: passports, visas, travel insurance, health documentation (if required), and any personal documents needed for travel. Guests must provide accurate traveller details at the time of booking.

7. Force Majeure / Unforeseen Events

Hello Beyond Travel is not responsible for cancellations, delays, or disruptions caused by events beyond reasonable control, including but not limited to weather, natural disasters, transport interruptions, government restrictions, illness outbreaks, or supplier operational issues.

8. Third-Party Suppliers

Hello Beyond Travel curates and arranges services through selected third-party suppliers. While we work carefully with trusted partners, service delivery remains subject to supplier availability, local operating conditions, and the supplier’s own terms.

9. Liability

Hello Beyond Travel’s liability is limited to the value of the booking component directly arranged by us. We are not liable for indirect losses, missed connections, third-party service failures, or circumstances beyond our control.

Invoice Terms

Free cancellation applies up to 30 days before arrival, with deposits refunded less bank/payment fees. Cancellations within 30 days of arrival incur a 50% charge of the total booking value. Certain components (including flights, promotional rates, and selected third-party supplier bookings) may be non-refundable or subject to supplier-specific terms. Any bank, gateway, transfer, or currency conversion fees are payable by the client, and the full invoiced amount must be received. Payment confirms acceptance of our booking terms.

Internal / Booking Confirmation Summary

  • 50% deposit required to confirm standard package / accommodation bookings.
  • Balance due as stated on invoice / before travel.
  • Cancel 30+ days before arrival = deposit refundable less bank/payment fees (typically 3-5%).
  • Cancel within 30 days of arrival = 50% of total booking value non-refundable.
  • Flights, event tickets, promo rates, and supplier-specific non-refundable items follow the supplier’s own rules.
  • If a property or supplier has stricter cancellation rules, those apply to that booking component.
  • Any bank fees, card fees, payment gateway charges, or FX conversion fees are the guest’s responsibility.
  • We must receive the full invoiced amount net in order to confirm the booking.
  • Payment confirms acceptance of terms.
